Wallogy Mobile App Privacy Policy

Effective date:

In this policy

Larson Technology LLC ("Wallogy," "we," "us," or "our") publishes the Wallogy native mobile app. This policy explains how we collect, use, retain, and share personal information through the app and the connected Wallogy services that support it, including processing that occurs after information is sent to Wallogy.

Wallogy is a workplace tool for the employees, contractors, and other authorized personnel of participating businesses. Your business provides and manages your account; the app does not offer public account registration. App users must be at least 18 years old.

This policy also explains how we handle information about customers, homeowners, and other people whose information appears in work records or appointment recordings used with the app. It covers the mobile app and its supporting services, rather than every feature of the Wallogy website or every activity of a participating business.

Your business and your information

Your business determines how it uses Wallogy for its work, which people receive accounts, and which features and permissions are available to them. We process the business's work records on its behalf to provide the service. We also handle information to operate and secure Wallogy, provide support, and meet our own legal obligations.

Your business may have its own employment, customer, recording, and privacy policies. Contact it with questions about its use of your work records, payroll information, or customer information. You can also contact us directly using the details at the end of this policy.

We receive information from you, your device, your business, other authorized users, and services your business connects to Wallogy. For example, an appointment or customer record may already exist in Wallogy before you open it in the app.

Information we collect and process

Account and sign-in information

We process your name, email address, user identifier, business and business unit, crew or team assignments, role and permissions, profile photo, language preference, and account settings. Your business may provide or update this information. If you enable text-message alerts, we also process your mobile phone number and notification preferences.

We use Auth0 to support sign-in and account authentication. Authentication involves sign-in information, account identifiers, and security tokens used to verify your access to Wallogy.

Customer, appointment, and project information

The app retrieves and displays work information maintained by your business. Depending on the feature and your access, this may include:

  • Customer and contact names, phone numbers, email addresses, service addresses, and project location coordinates.
  • Appointment dates and times, assigned sales representatives and crews, project schedules and status, and job descriptions.
  • Work orders, estimates, customer expectations, notes, project photos, attachments, and change orders.
  • Project financial information, including revenue, labor and material costs, expenses, and margins.

Information you add through the app becomes part of the connected Wallogy work records and may also be available through the Wallogy web service.

Messages, photos, and files

We process messages and attachments you submit in project conversations, group chats, and direct messages, as well as reactions, mentions, channel membership, read status, and sending or editing times. We also process translations of message text.

Uploaded photos and files may show people, homes, or other personal information. Files may contain embedded metadata, such as capture times or location information, if that metadata is included in the file you upload.

Time records

When time tracking is enabled, we process the projects or overhead activities you record time against, start and end times, dates, durations, notes, and changes to those records. Wallogy can combine time records with pay rates and labor-cost settings supplied by your business to calculate labor expenses and project costs. Your business may use these records for payroll, accounting, and workforce management.

Device location

With your permission, the app uses your device's location for time-tracking features, including suggesting nearby projects. When location is supplied to Wallogy for a nearby-project request, we use the latitude and longitude to calculate distances to project sites. This can be precise location information.

The app accesses device location while you are using it and does not continuously track your location in the background. The location supplied for nearby-project suggestions is not saved as clock-in or clock-out GPS coordinates in your Wallogy time entries. Technical request information may also be handled by our infrastructure and diagnostic services as described below.

Project addresses and their map coordinates are separate from your device's current location and can remain part of your business's project records.

Appointment recordings and information derived from them

Authorized sales personnel can record or upload audio associated with an appointment or job. This may include the voices and statements of the sales representative, homeowner, customer, or other participants, and any personal information discussed during the conversation.

We process the audio together with information about the job, person who recorded or uploaded it, recording times and duration, visit and recording segments, upload status, and the representative's confirmation of recording consent. If a recording is removed, we also record who removed it, when, and any removal reason.

Recordings can be transcribed and analyzed to produce speaker-labeled transcripts, quotations, summaries, sales coaching feedback, scores, and weekly performance summaries. Wallogy can also compare a transcript with a proposal and customer expectations to identify commitments, discrepancies, or items requiring follow-up. These results are associated with the relevant job, representative, or business.

Support, reports, and diagnostics

If you contact support, submit a bug report, or report a message, we process the information included in that request. This may include your contact details, the reported content, the people involved, and related technical information.

We and our service providers receive technical information when the app connects to our services, such as IP address, request times, service or resource identifiers, and error information. App diagnostics may include device and operating-system information, app version, crash reports, performance measurements, app activity, and session information.

The app uses Sentry for diagnostics, including session replays configured to mask text and images. Separately, server error reports sent to our support and development personnel can contain account and business details, affected record identifiers, and information involved in a failure. For example, an error while translating a message can include that message's text. Masking in app session replays does not mean that all diagnostic records are anonymous or contain no work content.

For push notifications, we store the notification token, platform, and subscription information associated with your account. We also maintain operational records, such as read status, record changes, recording removal history, and AI-processing status and errors.

Information on your device

The app may keep sign-in tokens, cached work information, settings, and pending uploads on your device to support access and synchronization. A recording or attachment may remain on the device while an upload is pending. Information already uploaded to Wallogy is retained separately from the local copy.

How we use information

We use information to:

  • Authenticate users, apply business permissions, and provide and synchronize messages, projects, appointments, work orders, photos, and other work records.
  • Support time tracking, nearby-project suggestions, labor-cost calculations, reporting, and your business's payroll and accounting activities.
  • Detect message language and translate messages and supported work content.
  • Store and transcribe recordings, provide sales coaching and performance summaries, and identify customer commitments and proposal discrepancies.
  • Deliver requested notifications and respond to support requests and content reports.
  • Diagnose errors, improve reliability and usability, maintain audit records, and protect the service against misuse or unauthorized access.
  • Meet legal obligations, resolve disputes, and enforce applicable agreements.

We do not sell personal information collected through the app. We do not use it for targeted advertising or track users across other companies' apps and websites for advertising purposes.

Translation, transcription, and AI processing

Wallogy uses Amazon Comprehend to identify the language of message text and Amazon Translate to provide translations. These services receive the text being processed, which can contain personal or business information.

For appointment recordings, Amazon Transcribe processes the audio and produces transcripts. Wallogy uses Amazon Bedrock for AI analysis, with Anthropic Claude or OpenAI models selected for the relevant feature. Depending on the analysis, information submitted can include transcripts and quotations, proposal and customer-expectation text, sales instructions, representative and customer names, and prior coaching results used to prepare summaries.

This processing supports your business's work, including coaching sales representatives and checking customer commitments. Transcripts, translations, and AI-generated results can contain errors. If a result about you or your conversation is inaccurate, contact your business or us to request review or correction.

Recording permission and permission to process or share personal information are separate from allowing the app to use your microphone. Representatives and their businesses are responsible for explaining the recording and its intended uses and obtaining the permissions required for the conversation and subsequent processing. This policy does not itself give permission to record someone.

Who can receive information

Your business and authorized users

Work records are shared within your business according to the relevant features and access permissions. Messages and attachments are available to the people with access to the conversation. Project and customer information may be available to assigned personnel and other authorized business users. Time records and labor costs may be available to staff responsible for administration, payroll, or project management.

Recordings may be available to authorized office and sales personnel with access to the job, as well as the person who made the recording. Sales coaching results are available through the relevant sales and management permissions. Access to recordings is not limited to the recording's creator or a single manager.

Your business may export records or share them with its own payroll, accounting, or other service providers. Its handling of those copies is subject to its own practices and applicable law.

Providers that help operate Wallogy

We use providers to deliver the app and supporting services. Depending on the features you use, these include:

Amazon Web Services, including Amazon S3
Cloud infrastructure and storage for work records, uploaded files, recordings, transcripts, and related operational information.
Amazon Comprehend and Amazon Translate
Message and supported work text for language detection and translation.
Amazon Transcribe
Appointment audio and related job-processing information for transcription.
Amazon Bedrock, using Anthropic Claude or OpenAI models
Transcript, proposal, coaching, and related business information for the AI features described above.
Auth0
Account and authentication information for sign-in and account administration.
Sentry
App error, performance, activity, and session information for diagnostics and troubleshooting.
Expo and Apple Push Notification service
Notification tokens and notification payloads for delivery to your device.
Larson Technology's messaging service and its SMS, email, and telecommunications providers
Phone numbers or email addresses and message contents for alerts, support, and operational communications.

Push and text-message alerts can include the sender's name, conversation title, a message excerpt, and a link or identifier for the relevant conversation. Notification providers therefore receive more than a device token. Previews may also be visible on your device's lock screen, depending on your settings.

We require providers handling personal information on our behalf to use it for the services they provide to us and to protect it at least as described in this policy, subject to applicable legal requirements.

Authorized Wallogy support and development personnel may access information when needed to provide support, investigate reports, maintain the service, or resolve errors.

Legal requirements and business transactions

We may disclose information when reasonably necessary to comply with law or valid legal process; protect the rights, safety, or property of Wallogy, users, or others; investigate misuse; or establish, exercise, or defend legal claims.

Information may also be transferred as part of a merger, acquisition, financing, reorganization, or sale of all or part of our business, subject to appropriate confidentiality protections and applicable law.

How long information is kept

Retention depends on the type of information, the purpose for which it is used, your business's recordkeeping needs and instructions, and applicable legal obligations.

  • Account and work records. Account profiles, messages, files, customer and project information, and time records can remain after an individual stops using the app or their account is deactivated. Your business may need these records for ongoing projects, payroll, accounting, warranties, disputes, or other business and legal purposes.
  • Recordings and related results. Stored appointment audio currently has no automatic expiration date and is retained until removed or addressed through an applicable deletion request. Associated transcripts and coaching records remain with the related work records unless removed or updated. Removing a recording starts deletion of its stored audio and transcript files and updates or removes affected coaching results. A record of the recording and its removal, including who removed it and why, may remain for audit purposes.
  • Support, diagnostics, and security records. We retain these according to their troubleshooting, support, security, and accountability purposes and the settings of the relevant systems and providers. Records relating to an unresolved incident or legal obligation may need to be retained longer.
  • Backups and other retained copies. Removal from normal use does not necessarily erase every copy immediately. Backup copies, storage versions, logs, delivered notifications, and copies retained by your business or other recipients may remain after an item is removed from the app.

Deleting a message in the app hides it from normal conversation views but does not by itself permanently erase its underlying stored content. Deactivating an account ends access but does not by itself erase the person's work history or all associated personal information. Uninstalling the app does not delete information already sent to Wallogy.

You can request deletion using the process below. We will assess the records involved, coordinate with your business where appropriate, and explain any applicable reason for retaining information.

Your choices and privacy requests

Device permissions and notifications

You can manage camera, photo, microphone, location, and notification permissions in your device's settings. Turning off a permission prevents future access through that permission; it does not remove information already uploaded. Features that depend on the permission may be limited or unavailable.

You can manage push and text-message alerts in the app's account settings and control notification previews in your device's settings. Turning off alerts does not delete the underlying messages or work records.

Reporting and blocking

You can use the app's message-reporting and blocking controls or contact your business or Wallogy support about inappropriate content. Blocking hides the blocked person's messages and mentions on your device. It does not delete the person's messages from Wallogy or change other users' access to those records.

Access, correction, deletion, and withdrawal of consent

To request access to, correction of, or deletion of your personal information or account, email support@wallogy.com or contact your business's office. You may use the same email address to withdraw consent for processing that relies on your consent or to ask how to stop an optional feature.

Include enough information to identify your account or the relevant records, such as your name, account email, and business. We may need to verify your identity or authority before acting. Do not send passwords or other unnecessary sensitive information with your request.

For records managed on behalf of your business, we may need its assistance or instructions to fulfill the request. We will respond within the time required by applicable law. Some requests may be limited by legal requirements, the rights of others, or a legitimate need to retain particular business records. If we cannot fulfill a request in full, we will explain the reason as required by law. Withdrawing consent does not undo processing that lawfully occurred before the withdrawal.

Depending on where you live and the law that applies, you may have additional rights to receive a portable copy of your information, object to or restrict particular processing, appeal a decision about a privacy request, or complain to a privacy regulator. Contact us to exercise an applicable right. We will not discriminate against you for exercising rights protected by applicable law.

Customers, homeowners, and recorded participants

You do not need a Wallogy account to make a request about your information. Contact the business you dealt with or email support@wallogy.com. For a recording request, include the business's name, approximate appointment date, service address, and your connection to the conversation so we can locate the relevant records.

You may ask the representative to stop recording and request review, correction, or deletion of a recording and associated information. A request about a recording will be considered together with related transcripts and derived results; deleting only a local audio file does not remove information already uploaded or processed.

Users under 18

Wallogy app accounts are for adults aged 18 and older. We do not offer app accounts to people under 18. Businesses must provide app access only to eligible adults.

If you believe a person under 18 has been given an app account, or that information about a minor has been included in a recording or other content inappropriately, contact support@wallogy.com so we can investigate and take appropriate action.

Security and processing locations

We use safeguards such as authenticated access, business and role permissions, encrypted connections between the app and our service, and protected cloud storage. No system can guarantee absolute security. Protect your device and sign-in details, and promptly tell your business or us if you suspect unauthorized access.

Wallogy uses infrastructure in the United States. Providers may also process information in other countries where they operate. Where applicable law requires safeguards for international transfers, those requirements apply to the handling of your information.

Changes to this policy

We may update this policy as the app, our practices, or legal requirements change. We will update the effective date and provide notice of material changes through the app, email, or another appropriate method. Where required, we will obtain consent before applying a change to the handling of your information.
